A look at how Second Mind Consulting has helped organizations move from AI experimentation to practical, measurable adoption.

Adoption Acceleration

Accelerating AI Adoption Across a National Telecom

When BNET — Bahrain's national fiber network operator — deployed enterprise AI licenses across the organization, the tools were in place. The operational ROI wasn't. Adoption was uneven, usage was inconsistent, and there was no structured framework connecting AI capability to the specific functions employees were responsible for.

The Challenge

BNET had deployed enterprise AI licenses to approximately 150 staff across customer service, operations, marketing, and HR — but the investment wasn't producing measurable value. Some employees experimented on their own; most didn't know where to start. Without a structured framework connecting AI capability to actual job functions, the tools sat underutilized and the organization had no clear path to operational impact.

The Approach

Second Mind Consulting mapped AI capability to role-specific workflows across three high-value operational functions — task automation, strategic decision-making, and quality assurance — and built structured, job-relevant frameworks employees could apply immediately. A live session delivered across time zones used interactive polling and role-based demonstrations to make the frameworks concrete and actionable. A post-session innovation challenge and optional office hours extended adoption momentum beyond the engagement itself.

What Was Delivered

  • Role-specific AI workflow frameworks across customer service, operations, and communications functions
  • A practical AI toolkit organized around BNET's three core operational use cases
  • A live implementation session for ~150 employees delivered across time zones
  • A post-engagement innovation challenge to sustain adoption momentum
  • Group office hours to address team-specific workflow questions
  • A roadmap of advanced follow-on engagements for continued operational integration

The Outcome

Staff left with role-specific workflow tools and a clear framework for applying AI to their actual job functions — not abstract AI concepts. Leadership received a structured roadmap for deepening adoption and measuring operational progress across the organization.

Workflow Integration

Integrating AI Into the Production Workflow of a Strategic Communications Agency

MTP, Inc. is a Los Angeles-based PR and strategic communications firm whose teams operate under constant pressure to deliver high-quality work at speed. Leadership recognized that AI could meaningfully accelerate their production workflows — but the challenge wasn't access to tools. It was integrating AI into an already high-velocity workflow without introducing inconsistency or putting client-facing quality at risk.

The Challenge

Creative and communications professionals are often skeptical of AI — and for good reason. Generic AI outputs can undermine brand voice, introduce inaccuracies, and produce work that feels hollow. MTP needed AI embedded into their actual production process: from crisis response to strategic planning to high-volume content creation. The goal was repeatable, workflow-level integration — not one-off experimentation.

The Approach

Second Mind Consulting designed a phased workflow integration program — each session targeting a distinct production function, building from foundational prompt discipline through to strategic planning workflows and high-volume creative output. Each session was built around real MTP work scenarios, with live demonstrations and hands-on application. The pacing was deliberate: new workflow patterns were embedded before more complex integrations were introduced.

What Was Delivered

  • Session 1: Crisis communications workflow — rapid response using AI prompt chaining and persona layering
  • Session 2: Strategic planning workflow — using Gemini for scenario planning, message testing, and competitive analysis
  • Session 3: Visual content production workflow — image generation, mockups, and short-form video
  • Session 4: High-volume creative production — integrated workflows across the full Google Workspace AI ecosystem
  • A proposal for a custom AI Studio Day to convert learned patterns into permanent, MTP-specific production workflows

The Outcome

MTP's team moved from unstructured AI experimentation to repeatable, workflow-embedded AI usage — with prompt frameworks, production protocols, and strategic applications integrated into how the team actually works. Each session built directly on the last, creating cumulative operational capability rather than one-off awareness. Leadership gained a clear view of where AI was delivering production value and where the highest-impact opportunities remained.

Operational Enablement

Urban League Initiative

  • Format Multi-Track Training Series
  • Tracks 3 Specialized Modules

Deploying AI Across Core Business Functions for Independent Operators

Through a partnership with a National Urban League initiative, Second Mind Consulting designed and delivered a multi-track AI deployment program for Black female solopreneurs — business owners who carry the full operational load of a company without the staff, resources, or infrastructure that larger organizations rely on. The goal was reducing that load in specific, high-friction areas through targeted AI integration.

The Challenge

Solopreneurs running every function of their business face a distinct operational problem: they can't afford to work inefficiently, but they also can't afford to adopt tools that don't deliver immediate, reliable value. Generic AI programs rarely address the specific decisions and workflows this group navigates daily — and they often risk homogenizing the voice and identity that makes their businesses distinctive. The program needed to be function-specific, immediately applicable, and protective of each owner's authentic brand.

The Approach

Second Mind Consulting built three workflow-specific AI deployment frameworks — each targeting one of the highest-friction operational areas for independent business owners: financial operations and contract analysis, content production, and project and client management. Rather than covering AI broadly, each track was built around the actual decisions and constraints these entrepreneurs face, with AI deployed as a precision tool for specific, high-stakes functions.

What Was Delivered

  • Track 1 — Financial & Strategic Operations: AI workflows for contract analysis, financial scenario modeling, complex document summarization, and building custom AI assistants tailored to each business
  • Track 2 — Content & Communications: A structured production workflow for multi-channel content with built-in brand voice guardrails — ensuring output stays on-brand without manual rewriting
  • Track 3 — Project & Client Management: An AI-powered project management framework for scoping work, mapping stakeholders, identifying risks, and building repeatable delivery systems

The Outcome

Participants left with functioning AI workflows mapped to their three highest-friction operational areas — reducing the manual load of running a business solo without requiring technical expertise or outside support. Each framework was designed to be immediately deployable, not aspirational.

Enterprise AI Adoption in Government: A Year-Long Study with OpenAI

While serving as Head of User Experience Research at CODE PA — Pennsylvania's digital services agency — Second Mind Consulting Founder and Principal Terence Milstead, PhD led the research team that conducted a year-long enterprise AI adoption study in partnership with OpenAI. The project was initiated and owned by the Governor's Office of Emerging Technology, which invited CODE PA's UXR team to design and execute the research component.

The Study

ChatGPT Enterprise licenses were made available to 175 government employees across 14 state agencies. Over 12 months, the research team tracked adoption patterns, real-world use cases, blockers, and time savings — generating an empirical picture of how government employees actually engage with enterprise AI tools in practice.

Research Methods

  • Focus groups across participating agencies
  • In-depth interviews with individual employees
  • Longitudinal diary studies tracking adoption behavior over time

Presentation & Publication

Findings were co-presented at the 2024 Code for America Summit alongside Harrison MacRae, the Governor's Director of Emerging Technology. The full report was subsequently published by the Commonwealth of Pennsylvania.
